COMMERCIAL ACCOUNT ASSISTANT

The Account Assistant handles multifaceted clerical and administrative tasks for Account Managers and Account Executives and is constantly helping to coordinate a high-volume workload within a deadline-driven environment.

Roles and Responsibilities*

Personal responsibilities and accountabilities

- Advance towards your own growth goals in the company, owning your development and continuing education when applicable

- Participate in training and professional development courses to enhance skills and industry knowledge, as well as related insurance products

 

Internal/ Team based responsibilities and accountabilities – Technical and Operational

- Take all steps to prevent errors & omissions

- Maintain client files with excellent documentation and organization of data, scanning & attaching documents in a broker management system

- Assist in the renewal process by applying knowledge, problem solving, and communication with the team

- Provide quality internal customer service to peers by maintaining relationships, managing expectations and professionally communicate in a manner that is friendly, timely and clear

- Execute service requests such as policy/ billing research, payments, proofs of insurance and endorsement requests

- Begin the Pre-Renewal process at 150-120 days in advance of renewal with the guidance of the Account Executive/ Account Manager

- Enter policy and client information into the broker management system, processes change requests, and verify the accuracy of endorsements and premium audits 

- Process payments through online services

- Set up files for new accounts

- Review policies against cover notes for accuracy (coverage and limits)

 

Please note, it is expected that Account Assistants, with the assistance of the Account Executive, back up assigned Account Managers in times of illness and vacation.

 

Client/ Insurance Company based responsibilities and accountabilities

- Work with an established book of technical, commercial business 

- Understand your role as a brand ambassador and provide positive brand experiences to all customers

- Monitor & issue certificate requests, pink cards, etc.

- Prepare document enclosure letters/emails

- Prepare binders

- Obtain premium finance quotes

- Invoice premiums

 

*This is not an exhaustive list of tasks that are the responsibility of the Account Assistant – there will be additional tasks based on experience of team members. There is also a fluidity of the work involved based on client complexity.
